- Every live automation watched daily
- Fixes inside one business day
- A monthly tune-up of prompts and rules
- A monthly report: hours handed back, errors caught, usage costs
- Month-to-month, on your own accounts
AI automation, built only where it pays back.
We find the repetitive work in your business, price each automation before we build it, and build only the ones that earn back their cost within a year on your own numbers. Builds from $1,500, run plans from $750 a month, software and model costs at cost on your own accounts, and you own every workflow and prompt.
Director-led and senior-run: the people who scope your automations build them, and nothing is handed to a junior. Our founder, Carlos Benavides, has managed $50M+ in paid media, and every automation is measured against the hours it was built to save.
Starts with a $1,500 audit, credited in full · fixed build prices · usage at cost · month-to-month
Pay once to build it, then a flat month to keep it running
Every automation has a fixed build price, paid once. A run plan keeps the live ones watched, fixed and improved, and the larger plans add new builds every month. Or take the handover docs and run it yourself: it is yours either way.
- Everything in Care
- A new workflow every month, or $1,500 toward a bigger build
- Fixes the same business day
- A monthly planning call with the director
- Month-to-month, on your own accounts
- Everything in Grow
- $3,500 of new builds every month, toward any mix of workflows or an agent
- Every customer-facing agent’s answers reviewed weekly
- Quarterly roadmap with the director
- Month-to-month, on your own accounts
Every engagement starts with the $1,500 Automation Audit, credited 100% to your first build within 60 days · build prices are fixed before work starts and paid half up front, half at launch · prepay a run plan for a quarter and take 5% off · phone answering and missed-call text-back have their own page: lead response
Hours saved and the payback month for each automation
Choose the jobs to automate and the hours they take your team today to see the build price, the run plan and the payback.
Both are your estimates, and the audit measures them. The hourly cost starts at $31: the median customer service wage, $21.53 (BLS, May 2025), with benefits at 30% of total pay (BLS, June 2026). The share starts at 50%: Gorgias reports its support AI resolving 45% of the tickets it handles at the median brand, and the rest goes to a person.
Pick the jobs you would hand over, and set the hours each one takes now.
Build prices are fixed before work starts. Software and model usage is billed by the providers to your own accounts, and shows in the monthly report.
Every price sits inside the published range
Prices from agencies, studios and productized services that publish them, next to ours, which sit in the middle on purpose. Most AI agencies quote only after a discovery call, so they are not included.
Sources and method
Ranges are the band most published prices fall in, from pages read on October 4, 2026. Audits: Bet on AI’s rate card from 54 operators ($1,200 to $2,400), The Crunch ($1,500 to $2,000), BlueShore (from $1,499) and HummingAgent (from $2,500); readiness audits for larger firms run to $7,500. Workflows: Bet on AI ($650 to $1,800, plus $400 for an AI step), AXIS AI ($1,500), Zaps Studio ($1,000 to $3,000) and Ryven ($1,000 to $5,000); with an AI step, BULDRR ($1,500 to $4,500). AI agents: WebFX ($3,000 to $12,500 to set up), AgenticMode ($3,000 to $12,000), Xenara ($8,000 to $15,000) and HummingAgent (from $7,500, custom agents $15,000 to $50,000). Monthly: AXIS ($750 to watch only, then $1,500 and $2,500), Zaps Studio ($500 to $3,500), Xenara ($300 to $800), AgenticMode ($300 to $1,500), HummingAgent (from $1,500) and Bet on AI ($1,200 to $2,400). Usage: in Bet on AI’s survey, 95% of operators pass it through at cost. Most of these sources sell the work they price, so treat them as published norms rather than a survey.
The jobs worth checking first
Each one is built on the tools you already pay for, and each one hands the unusual cases to a person.
Where is my order?
Order status, shipping, returns and sizing answered from your store data and policies.
A support agent for your store
It reads the order in Shopify and the tracking from the carrier, answers in your help desk in your voice, and hands refunds, complaints and anything it is not sure of to a person with the whole thread attached.
- Works inside Gorgias, Zendesk, Re:amaze or Shopify Inbox
- Drafts for a person to approve for the first 2 weeks
- Every answer logged, so you can read what it said
Quotes that go quiet
Follow-ups written from the job notes, sent until the customer answers, stopped the moment they do.
Quote follow-up
A quote with no follow-up leaves the decision to whoever calls the customer next. The workflow drafts each follow-up from the estimate and the visit notes, sends it on your schedule from your own email or text line, and stops as soon as the customer replies.
- From your CRM or field-service software
- Your tone, your sign-off, your timing
- Replies routed straight to the person who quoted
The inbox, sorted
Forms and emails read, summarized and filed in your CRM, the urgent ones flagged at once.
Intake into your CRM
Every form, email and booking request is read, summarized in two lines, tagged by service and urgency, and filed against the right contact, so nobody retypes it and nothing urgent waits until Monday.
- HubSpot, GoHighLevel, Pipedrive or your practice software
- Urgent requests texted to the person on duty
- Duplicates merged, not multiplied
Asked at the right moment
Review and photo requests timed to delivery or job completion, not to the invoice.
Review requests
A request timed to the day the parcel arrives, or to the hour the technician leaves, reaches people while the experience is fresh. The workflow times it from the event, and unhappy replies go to a person instead of the review site.
- Shopify, Klaviyo, Housecall Pro, Jobber or ServiceTitan as the trigger
- Unhappy answers routed to you first
- No incentives offered for reviews, so platform rules hold
Monday's numbers, written up
Sales, ad spend and leads pulled from each tool and summarized in one email.
The weekly report
The workflow pulls the week from your store, your ad accounts and your CRM, writes three lines on what moved and why, and links each number to where it came from, so the summary can be checked.
- Shopify, Meta, Google Ads, GA4 and your CRM
- The same numbers every week, in the same order
- Anything unusual called out at the top
Answers from your own procedures
Your staff ask it how things are done here, and it answers from your documents.
A team assistant
Trained on your procedures, price lists and policies, it answers your team in plain words and names the document each answer came from. When a document changes, the answer changes with it.
- In Slack, Teams or a private web page
- Cites the source of every answer
- Access limited to the people you choose
Missed calls and after-hours
Answering, text-back and booking live on their own page with their own price.
Phone answering: priced separately
The AI receptionist, missed-call text-back and instant booking for service businesses are a separate system, set up in 48 hours.
Our terms next to typical agency terms
Build prices, upkeep, usage costs and ownership, next to what is common in the market. Ask anyone you are comparing the same questions.
| What to check | Common in the market | Here |
|---|---|---|
| Is the price published? | Rarely; most AI agencies quote after a discovery call | On this page, with the payback worked out on your numbers |
| Discovery or audit | A free first call, then a paid audit of about $1,200 to $2,500 where one is charged; some credit it to the build | $1,500, credited 100% to your first build within 60 days |
| Who owns the workflows, prompts and accounts | Ask; some builds live in the agency’s own accounts and stop when you leave | You do: your accounts, your keys, the prompts exported, a handover doc for each build |
| Usage: models, messages, software | Usually passed through at cost; some add a 10 to 15% fee, and packaged plans cap usage and charge for overage | At cost, billed by the providers to your accounts and shown in the monthly report |
| Upkeep after launch | About $300 to $1,500 a month to watch and fix; about $1,500 to $2,500 with new builds included | From $750 a month, with fixes inside one business day |
| Minimum term | Some ask for a 3-month minimum; subscription services cancel any month | None. Builds are fixed-price projects; run plans are month-to-month |
| AI that talks to your customers | Ask how it was tested before it went live, and who reads its answers | 2 weeks of drafts approved by a person first, then every answer logged |
From the audit to the first hours handed back
- The callFifteen minutes on the work that eats your week. If nothing in it would pay back, we say so and you keep your money.
- The auditWe map the repetitive jobs, measure the hours, and price each automation with its payback. $1,500, credited 100% to your first build.
- The buildAt a fixed price, on your own accounts. A workflow takes about a week; an agent takes three to four.
- Shadow modeFor 2 weeks a customer-facing agent drafts and a person approves. It goes live when the drafts stop needing edits.
- Every monthA report of hours handed back, errors caught and usage costs. Month-to-month: the plan has to keep earning its place.
AI automation pricing FAQ
How much does AI automation cost?
Agencies that publish prices put a simple workflow at about $650 to $3,000, a custom AI agent at about $3,000 to $15,000, and monthly upkeep at about $1,500 to $2,500 with new builds included. Ours are fixed and paid once: $1,500 for a workflow, $3,000 for an AI workflow, $4,000 for a team assistant and $7,500 for an AI agent, with run plans from $750 a month.
What does it cost to run each month, all in?
The run plan, plus usage billed by the providers to your own accounts at cost. For scale, support platforms publish about $0.85 to $1.00 per question their AI resolves (Gorgias, Intercom Fin, Re:amaze), and most workflows cost far less than that to run. The audit prices the usage of each automation before you approve it, so it is already in the payback.
Who owns the automations, and what if we stop working with you?
You do. Everything runs on your own accounts, and you connect your own logins, so we never hold your passwords. Each build comes with its workflows and prompts exported and a handover doc. If you stop paying us tomorrow, it keeps running exactly as it is.
What if the AI says something wrong to a customer?
A tribunal held Air Canada liable for what its chatbot told a customer, so our agents answer only from the data and written policies you give them. Each one spends its first 2 weeks drafting replies that a person on your team approves, hands refunds, complaints and anything uncertain to a person, and logs every answer so you can read what it said.
Can customers still reach a person?
Always. Every agent offers a person when asked, says it is an AI assistant when asked, and hands over with the whole conversation attached, so nobody has to repeat themselves. You choose the hours and the people it hands to.
Why not use the AI built into Gorgias, Klaviyo or Jobber?
Use it when it covers the job, and the audit will say so. We build where the built-in AI stops: across more than one tool, on your own rules, with the handoffs, the logs and the monthly report of what it saved.
Who fixes it when something breaks?
On a run plan, we do, inside one business day, and the same day on Grow and Scale. Automations break when the tools around them change: an app updates, a form gains a field, a model is retired. Without a plan, you get the handover docs and fix it yourself, or call us at our build rates.
Have you built this before?
Barlo Digital is a new firm, so we will not show you other companies’ logos. We run our own business on automations we built: our site deploys and their checks, our prospect research, and the alerts when any of it fails. Before you pay for a build, the audit puts the plan and its payback in writing, and every month the report shows the hours it handed back.
What happens to our customer data?
It stays in your own systems. Each automation reads only what its job needs, and model calls run through API accounts in your name under the provider’s business terms. Where patient data is involved, we build only on providers that sign a Business Associate Agreement, and automated calls or texts go only to people who agreed to hear from you.
Does it work with the tools we already use?
Usually. Shopify, Gorgias, Zendesk, Klaviyo, HubSpot, GoHighLevel, Jobber, QuickBooks, Google Workspace, Microsoft 365 and Slack all have the connections these builds need. A few have conditions: Housecall Pro opens its API only on its MAX plan, and ServiceTitan requires AI uses to be disclosed and approved. The audit checks each one before you pay for a build.
How long does a build take?
About a week for a workflow, two weeks for an AI workflow or a team assistant, and three to four weeks for an AI agent. Anything a customer sees then spends 2 weeks in shadow mode before it answers on its own.
Do you answer our phones too?
Yes, as its own system: the AI receptionist, missed-call text-back and instant booking for service businesses are priced on the lead response page, and they connect to everything built here.
Is there a contract?
No. A build is a fixed-price project, paid half up front and half at launch. Run plans are month-to-month, and prepaying a quarter takes 5% off.
Book fifteen minutes and bring the jobs that eat your week. We will tell you which ones would pay back and which ones to keep by hand. The audit maps the hours, prices each automation with its payback, and credits 100% to your first build within 60 days.
